JOB TITLE: Administrative Specialist

CLASSIFICATION: Part-time, Non-Exempt

HOURS: 15 hours per week, occasional weekend and evening hours required, hours likely increasing after first year

SALARY: $20 per hour

REPORTS TO: Executive Director

POSITION SUMMARY

California Poets in the Schools seeks an individual with a passion for connecting people throughout California to a high quality, literary arts education. The ideal candidate is driven, energetic and creative, excels in a tight-knit, active work environment, and is committed to equity in the arts. The Administrative Specialist will assist with administrative, program and fundraising tasks in our downtown Santa Rosa office.

California Poets in the Schools empowers students of all ages throughout California to express their creativity, imagination, and intellectual curiosity through writing, performing and publishing their own poetry. We train and coordinate a multicultural network of published poets, who bring their passion and craft to public and private schools, juvenile halls, hospitals, libraries and other community settings.

A small staff administers the statewide program from an office in Santa Rosa, California. Poet-Teachers are working throughout the state to deliver programs in over 30 counties. The Administrative Specialist is expected to strive for excellence in the administration of CalPoets’ statewide programs.

POSITION DUTIES

Manage data entry on e-tapestry, our database
Answer and respond to phone calls
Send thank you letters to donors
Attend to mail - sending and receiving
Assist with logistics related to fundraising campaigns
Assist with logistics related to the publication of annual, statewide anthology
Assist with logistics related to our statewide symposium - a three-day poetry conference
Assist with other events, such as poetry readings, as necessary
Attend the statewide symposium if happening in Bay Area
Communicate with Poet-Teachers, area coordinators, board members, classroom teachers, donors and other constituents via email and telephone
Assist with data collection, presentation and analysis
Assist with information gathering for grants
Assist with creation of CalPoets marketing materials

EXPERIENCE AND QUALIFICATIONS

A successful candidate will likely have the following qualifications:

A genuine passion for the arts and arts education;
Experience working with various computer programs including database management, word, google docs, excel, and more;
Detail oriented, well organized;
Strong communication skills: articulate with proven ability to write effectively and speak persuasively, willing to have difficult conversations to build community;
Bi-lingual and/or having a significant cross-cultural experience or understanding;
HS diploma or equivalent, some college and or relevant work experience

COMPENSATION

Pay for this position begins at $20 per hour.
