Status: Part-Time; Non-Exempt

Pay Rate: $15-17 per hour

 

Position Purpose:
The Education and Volunteer Coordinator provides support for the Museum’s education department and oversees its volunteer program. This position is responsible for assisting in the coordination and execution of the Museum’s programs and tours, as well as recruiting, training and scheduling Museum volunteers, with the goal of generating community interest in the Museum’s exhibitions and engaging new audiences.

 

Principal Duties and Responsibilities:

Education

  • Assists the Director of Public Programs and Tours with planning and implementing a dynamic schedule of public programs, including lectures, tours, performances, panel discussions, and films.
  • Assists with scheduling program speakers, performers and artists, including making travel and accommodation arrangements.
  • Inputs registrations into database and assists Visitor Services with check-in at programs.
  • Oversees program checklist and coordinates the logistics of the program, including set-up, break-down, staffing, equipment, materials, permits, and timeline, seeking assistance from other staff and volunteers as needed.
  • Assists with the Museum’s docent program, including the training and scheduling of docents for tours; assists with the docent guide and leads tours if needed.
  • Assists with the Museum’s school and youth programs.
  • Documents programs and tours throughout the year with photographs and videos.
  • Acts as a resource person for both public and staff for education-related issues.
  • Performs other duties as required.

 

Volunteer Coordination

  • Recruits, trains, and schedules Museum volunteers.
  • Supports museum staff in allocating volunteer resources in the museum.
  • Coordinates and fills volunteer duties (gallery attendants, onsite and offsite events, installation/deinstallation, collections, special projects); should a volunteer not show up for duty, finds a replacement.
  • Updates and maintains volunteer handbook and resource binder.
  • Releases volunteers who are not able to meet museum standards.
  • Ensures volunteers are informed of current and upcoming exhibits and events by composing and distributing the weekly e-newsletter, posting in the volunteer Facebook group, and ensuring the shared calendar is up to date.
  • Tracks all volunteer hours.
  • Maintains all museum volunteer applications and files.
  • Works with local agencies to advertise and post open volunteer positions.
  • Plans and implements the volunteer appreciation program.

 

Knowledge, Skills, and Abilities Required:

Education/Experience

  • Bachelor’s degree required, preferably in a related field (Education, Museum Studies, Art History, History).
  • Two years of experience in a professional office environment required.
  • Two years of experience in a museum, gallery, private collection or cultural organization preferred.
  • Project or event management experience preferred.
  • Teaching or docent experience preferred.

 

Skills/Abilities

  • High degree of integrity, drive, professional office and organizational skills.
  • Candidate must be able to communicate well, both verbally and in writing. Selected candidates may be asked to submit a writing sample.
  • Microsoft Word, Excel, Publisher, PowerPoint, and Outlook fluency preferred.
  • Familiarity with a newsletter composer (Constant Contact, Mailchimp), Signup.com, and Fundly/Nonprofit Easy preferred.
  • Must be able to multi-task, be flexible, personable, responsible, respectful, detail-oriented, and a team player.
  • Must be proactive, work under deadlines, and implement projects in a timely manner.
  • Must have valid CA Driver’s License.
  • Bilingual (English/Spanish) a plus.
  • Position will be contingent upon successful background check.

 

Typical physical demands 

Sitting at desk for prolonged periods of time, walking, standing, climbing stairs, hearing (telephone, at meetings, etc.), lifting/carrying (up to 50 pounds), climbing up and down ladders, lifting and retrieving materials and objects, and reaching both above and below shoulder height.  Equipment used

Computer, telephone, copier, fax machine, calculator, digital camera, mobile devices, and other electronic office equipment. Occasional use of personal vehicle.
